Change Object Access Rules:
1. Open Settings from the User menu.
2. Select Object Access from the Access Control dropdown menu.
3. Search for the object whose sharing rule you want to modify.
4. Choose the appropriate sharing rule from the dropdown. Your selection will be saved automatically.
Share Types
Share Type | Description |
---|---|
Private | Only the owner can access and view the object data. |
Public Read/Write | Everyone can view and edit the object data. |
Public Read Only | All users can view the object data, but only the owner can edit it. |
Controlled by Parent | Used for template-type objects, where the object inherits the sharing rules from its parent. |

What is a Sharing Rule?
Sharing rules allow you to control data flow between users or queues. Configure these rules using Data Access Roles or Record-level settings.
Create a Sharing Rule
1. From the Access Control dropdown, select Sharing Rules →
+ Add New

Fill in the required information.
Field Description Name Specifies the name of the sharing rule. Object ID Identifies the object to which this sharing rule applies. Rule Type Defines the type of record sharing, including lists of records or records under a data access role. Rule Type Record Represents the ID of the record or data access role. Rule Type Formula An expression that returns a list of records. Share with Type Indicates whether the sharing is with a user or a queue. Share with Record Represents the ID of the user or queue. Share With Formula An expression that returns a list of user IDs. -
Select the appropriate options from the dropdown menus for Rule Type and Share Type →

Rule Types:
Rule Type | Description |

Record | Apply the rule to specific records. If the user is not listed, add a new user via the dropdown. |
Data Access Role | Apply the rule based on data access roles. |
Share Types:
Share Type | Description |
---|---|
User | Share data with a specific user. Add a new user if they are not listed in the dropdown. |
Queue | Share data with a queue. |
Edit a Sharing Rule
- From the Sharing Rule list view, click
Edit
next to the Sharing Rule you wish to configure →Save
Delete a Sharing Rule
- Open Settings from the User menu.
- Select Sharing Rules from the Access Control menu.
- Search for the Sharing Rule you want to delete in the list.

You need Delete
permissions on the object in one of the permission sets assigned to your user role.
